How to Delete Lists or Leads in DealMachine
You have a list of leads that you no longer need and you want to remove them from your account permanently. Don't worry! We'll guide you step-by-step on how to do that. However, please note that this action is irreversible but you can always re-add the permanently deleted leads, either by driving for dollars, list building, bulk uploads or manually adding them.
If you think you might need to review these leads again later, moving them to the trash could be a better solution.
Managing leads in DealMachine can be complex due to differing behaviors of Smart Lists and Static Lists. Understanding their distinction and behaviors during deletion is critical to ensure proper lead removal without accidental consequences.
To delete lists and the leads inside them,
1. Go to Leads.
2. Click Open Lists.
3. Type the name of the list that you want to delete.
4. Click on the list.
5. Click Select All to select all of the leads inside the list.
6. Click Lead Actions.
7. Click Permanently Delete Leads.
8. Click Permanently Delete.
9. Now that the leads have been deleted, it's time to delete the list. Click the three dots beside the name of the list.
10. Click View List.
11. Click Delete List.
12. Click Really Delete to confirm your action.
Deleting just the list will not delete the leads inside it so it is important to delete the leads first before deleting the list itself.
Additionally: DealMachine has a maximum allowable lead limit depending on your plan. Regularly deleting unnecessary leads and lists helps avoid errors related to storage limits, ensuring you can continue adding new leads without interruptions.
For instance, leads removed from a Smart List might automatically reappear because these lists refresh daily according to predefined filters. Converting Smart Lists to Static Lists prevents this reappearance and ensures more control.
Managing Leads in Smart Lists
To manage leads effectively without accidental deletions or reappearances:
Navigate to the Open Lists section.
View the Smart List and select its leads.
Use filters to carefully deselect leads to keep.
Convert Smart List to Static List to prevent auto-updating behavior.
To Permanently Delete a Single Lead
Open the lead card by clicking View Lead.
Change the lead status to In Trash.
Click the trash bin icon to confirm and permanently delete the lead. Note: Placing a lead in the In Trash status does not permanently delete it. Ensure you complete the deletion step.
To Bulk Delete Leads
Select the leads you want to delete by marking individual leads or clicking Select All after applying filters.
Go to Lead Actions.
Choose Permanently Delete Leads to confirm.
Troubleshooting Errors After Deletion
After deleting leads, you should monitor your account's total storage capacity. DealMachine has a maximum allowable lead limit. Exceeding this limit can prevent new leads from being added and may cause the system to return errors.
How to Avoid Storage Limit Errors:
Regularly delete unnecessary leads and lists to stay within your account's storage limits.
If you encounter an error, double-check your account storage to ensure adequate space for new leads.
Convert a Smart List to a Static List if you notice persistent issues with lead reappearance due to daily auto-updates.
