How to Import/Upload Your Leads List into DealMachine

What file type do you need and how do you upload your list?

You have a list of properties and want to upload it into DealMachine.

First, ensure your list is in a .csv or .xlsx file. While we don’t require specific formatting, using simple labels like Address Line 1, City, State, and Zip Code can help auto-map your fields.

The import process depends on how your data is structured. Here are the different ways you can import your list:

  • Full address in one column

  • Full address split into multiple columns (Street Address, City, State, Zip Code)

  • Parcel ID, County, and State

  • Parcel ID and Zip Code

  • Latitude and Longitude in separate columns

  • Property ID from a DealMachine export

Here's a sample format of the spreadsheet.



How to Upload Your List to DealMachine:

  1. Sign in to DealMachine.com.

  2. Go to the "Leads" tab.

  3. Click "Add Leads."

  4. Select "Import List."

  5. Click Upload List and choose your file from your computer.

  6. Upon import, DealMachine will look at your column headers and map them to the fields it thinks are applicable. The bubbles that are white indicate fields that have been mapped. Grey bubbles are NOT mapped. Please note you only need one highlighted bubble in order to import, though more than one may be highlighted. The checkmark indicates you have enough data to complete an import.

  7. If your fields do not auto map or you wish to map fields manually, you can scroll down to view your list of fields and what they are mapped to. The smaller light grey name is the name of the column in your file and the bold text is the field being mapped.

    If you click on one of the fields, a list of options to map the field will show up and you can manually select your option. If you want to make sure a specific field does NOT map, make sure to select the n/a option or 'skip column' and DealMachine will ignore those columns.

After that you are free to import your list by selecting 'Import List' on the top right corner of the screen. 

Note: When importing addresses, make sure the zip code includes all digits, including leading or trailing zeroes, as Google Sheets or Excel may sometimes remove them.

Note: If you have the complete address under a single column, you may map it with "Full Address".



💡 Tip: If you are on a Pro or Pro Plus plan and you have created Custom Lead Fields, you can map any column in your spreadsheet to your desired custom field. Just make sure to select the name of the custom field in the dropdown menu when mapping the data.


How do I match properties using the Property ID during imports?

Property ID's can only be exported from DealMachine. If you have previously exported a list from DealMachine and want to bulk import values into your custom fields, importing by the property ID is the best solution. To be able to successfully import data using the property ID, you must map the "property_id" column to "Property ID".



​How can I import using APN?

Ensure you have a column for the APN/Parcel Number, county, and state or zip code in the CSV file. Map the column for APN with "Parcel Number, county with "county", and state with "state". Another way to import APN is by mapping the parcel number and zip code.


How can I import using the latitude and longitude?

When you export properties from DealMachine, the file will already have the columns for the latitude (property_lat) and longitude (property_lng) so if you wish to re-import the properties to update custom fields, you can do so. Map the column "property_lat" with latitude and the column "property_lng" with longitude.
