DealMachine makes it easy to import your lists, but sometimes errors will prevent properties from matching up as they should. Here are some tips and tricks to help get all of your properties imported into DealMachine.
Include column labels or headers
When DealMachine attempts to import your list, one of the first things we look for are top row labels for each column, indicating what fields they contain. This helps us to automatically map your fields. This is not required, but definitely helps.
Review errors
Prior to importing, DealMachine scans a small portion your file in an attempt to find fields that may have issues that prevent importing. They look like the image below. This gives you an idea of what may be wrong even before you import. Please note that this is a preliminary scan and does not display all errors that may be contained in your list
Confirm your matched fields are accurate
DealMachine will scan your spreadsheet and match the contents of the columns to the appropriate fields, but everyone makes mistakes sometimes. Check the mapping by clicking on any of your mapped columns and reviewing the field they are being matched to.
Delete any blank rows
When DealMachine encounters a blank row, it may prevent properties after that row from being included in your import. Make sure to delete any blank rows to prevent this issue.
Check your 'Bulk Import Complete' email
After your import is complete, you should receive an automated email from DealMachine with details about your import. Inside the email will be information about:
Number of new leads: totally new leads to your account
Number of updated leads: new leads plus existing leads
Number of errors
Under number of errors, we will provide a list of the rows that failed to import. You can use this information to go back into your file and adjust the contents accordingly.
Make sure leading zeroes were not dropped from your files
Many spreadsheet programs will drop zeroes from the beginning or ends of numbers automatically, which will prevent properties from matching. Double check that the entire number is present. This can be an issue for the following fields in particular:
Zip Codes
Parcel Numbers
Latitude or Longitude
Property ID
Bonus Tip: To prevent this in the future, tools like Excel allow you to mark your files as 'Text' typically under the formatting menu
Try importing manually
If you're only importing a few properties, try importing them manually by selecting 'Manually Add Lead' from under the 'Add Leads' button. You can copy and paste or type the property's address into the top 'Address' field and DealMachine will attempt to match the property. Even with the address number and street name, we will provide suggestions of addresses that match what you've typed. Once you find the correct address, select the property and click 'Add Lead From Address' to add the property.
Check for duplicates
Each property can only be imported into DealMachine once. Search your leads list in DealMachine for any properties that did not match or review your spreadsheet for more than one instance of the same address.
Bonus Tip: This can happen with properties that have multiple units such as multi-family housing.
Add any 'Address Line 2' items into 'Address Line 1' or 'Full Address' if not initially included
It's easy to miss instances of things like Unit or Apartment Numbers, A or B, etc. These would need to be included in a full address or multiple units may be seen as duplicates.
Ensure properties are in the United States
At this time, DealMachine can only be utilized for properties in the United States and we are unable to import properties located in other countries. This is only applicable to the property's location, not the property owner's address, though we are also unable to send mail or dial outside of the U.S.
Try spelling out numbers and abbreviations
DealMachine is matching properties based on how the address appears in our database which may not always match the formatting from other sources. Try amending how numbers or abbreviations appear in a street name to see if this impacts your match. Some examples of things to amend are:
St., Rd., Ave., etc. to Street, Road, Avenue
N, S, E, W to North, South, East, West
Apt., #, Unit, Ste. to Suite, Apartment, etc.
1st, 2nd etc. to First, Second
Look for duplicated words in addresses
Even if the rest of the address is correct, something like a misplaced extra word can throw off the import. Review your addresses for instances of something like the example below.
